Full-Time Client Relations Manager - Chattanooga, TN
The mission of Advocates for Immigrant Rights (AIR) is to fight for the dignity, safety, and inclusion of immigrants in the United States, especially those most marginalized, through legal representation and advocacy. We fight for the rights of immigrants but also for the expansion of those rights to ensure that all people are equally protected by the laws of the United States. AIR seeks to create structural and systemic change by coordinating with other legal service providers and community-based organizations to complement our skills and build our mutual capacity. Advocates for Immigrant Rights is seeking someone to fill the position of Client Relations Manager for our Chattanooga office. We need someone who is fluent in both English and Spanish, organized, self-driven and motivated with the ability to identify solutions to issues as they arise.
This is a full-time hourly position, to start immediately, with opportunity for growth within the organization. The Client Relations Manager will provide support for the administrative and legal work of Advocates for Immigrant Rights.
Purpose of Role
To provide administrative support for Advocates for Immigrant Rights and the Chattanooga office.
To support Attorney/Legal Rep client representation, facilitate communication between clients and Attorney/Legal Rep, and ensure that necessary information and documents are gathered and prepared in the advancement of case work.
Administrative Duties
Pleasantly interacting with clients over the phone in Spanish and/or English to disseminate and collect accurate information with an emphasis on client satisfaction
Answering all incoming calls/texts/emails/messages on the mainline to provide accurate information
Scheduling appointments
Collecting payments
Follow up with clients regarding payments, receipts, application status, etc.
Warmly welcoming in-person clients to our office
Graciously accepting client payments, writing receipts, creating invoices, and adding the payment in case management application
Accurately logging client interactions in case management application
Gather documents and information from clients
Interpret for attorneys or schedule interpretation in another language if necessary
Translate documents
Take fingerprints and passport style photos
Draft and send closing letters to clients
Efficiently creating and maintaining files
Participation in Staff Meetings
Other administrative duties as required
Legal Support Duties
Conduct intakes with potential clients
Create a client profile in case management application
Create an invoice for the consultation fee
Conduct new client orientation
Answer client calls/texts sent to Attorney
Interface with clients to relay legal information as directed by attorney
Provide resources to clients with particular needs
Draft and send client correspondence
Support Attorney in the following areas:
Fill out forms
Draft statements
Respond to Requests for Evidence
When drafting forms and legal documents for attorney approval contact clients to:
Collect evidence
Clarify information
Review documents for signature with clients
Draft simple cover letters
Submit Background Checks
Present final applications to attorney/case handler for review
Ensure applications are posted when directed
Follow up with clients regarding Notices received in the mail
Cover for other support team members in their absence or when things are slow
File documents in the filing cabinet when necessary
Community Outreach
Other legal duties as they arise
Qualifications
Must have reliable transportation. Must have at least a High School Diploma or GED and at least 4 years of work experience OR a college degree. Required skills include fluency in both English and Spanish, basic proficiency with technology, including Microsoft Office Suite (specifically Word and Excel), Google Suite and Adobe Acrobat. Prior experience in the immigration field is highly preferred.
Wage and Benefits
Hourly wage from $19.00 to $22.00 per hour commensurate with experience. Excellent benefits including health insurance coverage and generous paid time off as well as the opportunity to participate in SIMPLE IRA plan with a 3.5% organizational match, and federal loan forgiveness eligibility.
